Stuck?

Common questions

.md

Answers to what people ask most — why a task is blocked, what editing a workflow does to a checklist, and how to correct a mistake.

Why is my task blocked?

Because a prerequisite has not finished. The line under the task names what it is waiting on — "Waiting on Deploy job".

There is no way to unblock a task directly, and that is the feature: the order was written into the workflow on purpose. Finish the task it names, or skip that one, and this one turns Ready by itself.

If a task waits on several things, it stays blocked until every one has closed.

I edited a workflow. Did I break the checklists people are running?

No.

A checklist pins the workflow version at the moment it was generated, and later edits never touch a checklist already in flight. Everyone still working one finishes the version they started. The next checklist generated picks up your changes.

Edit freely. See Checklists.

A schedule should have generated a checklist, and did not.

Four things to check, in order.

Is it paused? A paused schedule generates nothing. The Schedules page says so on the row.

Was it skipped? By default a schedule skips a workflow whose last checklist from that schedule is still open, so that unfinished work does not stack up. Close the open one, or change the schedule to generate anyway.

Is the time zone what you think? A schedule fires on its own zone's clock. The row shows the next run in that zone — read it there rather than converting in your head.

Is it pointed at that workflow? A schedule only generates the workflows it names. Each row on the Schedules page lists the workflows that schedule runs.

See Schedules.

An old checklist says "Every 3 months". What is that?

The cadence it was generated with, kept as a label on that checklist. It is a record, not a setting — changing a schedule today does not rewrite it, and it does not make anything happen on its own.

Why was I warned that a task isn't mine?

Because it is assigned to someone else, or to a group you are not in.

It is a warning, not a block. You can still complete it, and the checklist records that you did, in the Assignment overrides section of the summary. Nothing is stopping you if the work needs doing.

Can I reopen a task I closed by mistake?

No. Once a task is Complete or Skipped it stays that way for that checklist.

Your options are to note what happened in a later task's answer, or to generate a fresh checklist and run it properly. The old one stays on the record either way.

This is why closing a task takes two presses: the confirmation box reads your answers back before anything is written, which is the point at which a mistake is still cheap. See Running a checklist.

What is the difference between Skip and Complete?

Both close the task and both unblock everything waiting on it. The difference is what the record says afterwards: skips are counted separately on the summary, so "we did not do this one" stays visible.

Skip a task that did not apply this time. Complete one you actually did.

Nobody is assigned to this task. Is that a mistake?

Probably not. A task with no assignees belongs to anyone, which is the right setting for most tasks. Assigning narrows a task to specific people; an empty box is not a gap to fill in.

Where did my uploaded file go?

Into the checklist. Every file attached anywhere in a checklist is collected in the Files section of its summary.

Why can't I add a connection?

Connections are limited to organization admins. Everything else — building workflows, generating checklists, working tasks, creating groups — is open to any member.

I can't see a workflow a colleague mentioned.

Check the organization switcher next to your avatar. Workflows and checklists belong to one organization and never cross between them; if you belong to more than one, you may be looking at the wrong one.
